Event Terms & Policies

Gravel n Granite is an arduous, adventure cycling event conducted on remote open roads and trails on private and public lands.  This cycling event requires a certain level of fitness and rider capability to complete.  The courses traverse natural environments which are inherently hazardous with trees, creeks, rocks and other natural surfaces in variable conditions.  Rider fitness and natural environments present a number of risks including but not limited to: 

• Potential medical episodes
• Slips, trips, falls and collisions
• Rough, uneven or unpredictable terrain
• Changing weather conditions
• Falling trees and branches
• Loose rocks and gravel
• Creek crossings
• Motor vehicles on open roads and trails
• Bike Mechanical failure

A risk assessment has been conducted and endorsed by land manager authorities including Council, Forest Corporation of NSW and NSW National Parks and Wildlife Service.  All care has been undertaken to provide information prior and during the event including but not limited to event information, pre-race briefs and signage.  Every effort will be deployed to reach any rider that requires medical attention.  

By registering, you acknowledge that:

• You are medically and physically fit to participate in your chosen event.
• You understand the nature of the course and its difficulty.
• You accept full responsibility for your own safety and equipment.
• You will ride within your limits and exercise caution at all times.
• You understand that sections of the course are on open roads and local traffic may be present.
   

Participants acknowledge that Gravel n Granite involves remote terrain, variable road conditions, open public roads and limited access areas. Medical response times may vary due to terrain and location. By registering, participants accept the inherent risks associated with adventure cycling and agree to ride within their ability and at their own risk. 

Gravel n Granite, the Saddlers Mountain Bike Club, event volunteers, land managers and sponsors will not be held liable for any injury, loss or damage sustained during the event, except where required by law.

 All riders must:

• Wear an Australian Standards approved helmet at all times while riding.
• Obey road rules and follow directions from event officials and marshals.
• Carry sufficient water, nutrition and basic repair equipment appropriate to the course.
• Display their event plate or timing device as instructed.
• Follow course signage and remain on the designated route

The event organisers reserve the right to remove any participant who behaves in a dangerous, reckless or unsportsmanlike manner.

 All cancellation requests must be submitted in writing via email to the event organisers.

Refunds will be processed according to the following timeframes, calculated from the official event start date:

• More than 60 days prior to the event: Full refund of registration fee.
• Between 30–60 days prior to the event: 50% refund of registration fee.
• Within 30 days of the event: No refund.

Refunds apply to the registration fee only. Any processing fees or third-party transaction charges may be non-refundable.

Illness or Injury

If you are unable to participate due to illness or injury and can provide a valid medical certificate, your registration may be transferred to the 2027 Gravel n Granite event.

Please note:

•  Transfers apply to the original registered rider only. 
•  If 2027 pricing increases, the rider will be required to pay the difference in registration fee. 
• No cash refunds will be issued in place of a transfer.

Event Cancellation

 If Gravel n Granite is cancelled by the organisers due to extreme weather, natural disaster, government directive, land manager requirements or other unforeseen circumstances beyond the organisers’ control, registered participants will receive a full refund of their registration fee.

The organisers are not responsible for any additional costs incurred by participants, including but not limited to travel, accommodation or equipment expenses.

Course Changes

Participants may change their selected course distance prior to the event via the registration update link provided in their confirmation email, subject to availability and any applicable price difference.

By registering for Gravel n Granite, you consent to the collection and use of your personal information for the purposes of event administration, safety management, timing and publication of results, and event communication.

Your information may be shared with event service partners such as timing providers, medical personnel and AusCycling (where applicable) for event delivery and compliance purposes.

Gravel n Granite will not sell or disclose personal information to third parties for unrelated marketing purposes.

By registering, you agree to receive event-related communications, including updates, important rider information and post-event surveys. You may unsubscribe from general marketing communications at any time.

Gravel n Granite will have official photographers and videographers on course and within the Race Village.

By registering, you acknowledge and consent to being photographed and/or filmed during the event. Gravel n Granite and the Saddlers Mountain Bike Club may use these images and videos for promotional purposes, including but not limited to social media, website content, advertising, marketing materials, future event promotion and media publications.

No compensation will be provided for use of these images.

If you have specific concerns regarding media usage, please contact the event organisers prior to the event.

Gravel n Granite reserves the right to alter course routes, start times, distances, or event format where required due to:

• Weather conditions
• Safety considerations
• Land manager requirements
• Emergency services advice
• Circumstances beyond the organisers’ control
   

In the event of cancellation due to extreme weather, natural disaster, government directive or other force majeure event, the cancellation policy will apply.
